Loading a Truck

  1. Scan the whole list of items you are loading and decide an appropriate load order.

  2. Check off items as they are loaded. Don’t check it off until it is actually ON the truck.

  3. When possible, load chairs in the front, and tables after that.

  4. How are you going to unload this truck? Do you need access to anything up front? Do you have a ramp or a lift gate?

  5. THINK. If items could move or fall, which direction would they go? How will the movement of the truck affect what you have loaded? Are there any fragile items that need special treatment? Pay attention to weight distribution - these trucks can tip over if not loaded evenly.

  6. TEST. After you have strapped an item, try to make it move. Straps need to be tight, not suffocating.

  7. If you loaded the last item of a group, STRAP IT IN. Strap as you go, not at the end. Make a habit of loading in a tight, organized fashion.

Driving a Company Vehicle

  1. Treat company vehicles as if they were your own. Trash should be removed when you get out.

  2. Before going anywhere, ALWAYS check the back:

  • Is everything strapped in and positioned correctly? We do not want to damage inventory.

  • Is the back door locked down? Do you need to put on a padlock?

3. Put on your seat belt.

4. No smoking in the trucks.

5. Turn ignition over without starting first. Wait for the glow plugs! This is not a gasoline vehicle. Diesel trucks have glow plugs and they have to reach a higher temperature before starting. Gasoline engines have spark plugs and can start immediately.

6. Check the fuel level. Do not drive a truck below 1/4 of a tank. USE CORRECT FUEL!

7. If you fuel the truck at a gas station (not the warehouse), use the fuel card on the key ring. You will need a driver ID. Please text Martin through Connecteam if you do not know yours.

8. While driving, be mindful of your truck size and weight. Give yourself time to brake, take wide turns, and don’t tailgate. Watch for overhead clearance on trees, power lines, etc.

9. Always, always, ALWAYS check both mirrors before changing lanes.

10. DO NOT SPEED! Your license and the company name are at stake. YOU will get the ticket, not the company.

11. DO NOT PARK IN A RESTRICTED AREA! You will get the parking ticket, not the company.

12. You are driving company property, you are representing the company, and you are responsible for the safety of yourself and everyone around you. DRIVE RESPONSIBLY, you are a moving billboard!

13. Never drive off of asphalt or gravel without the property owner’s permission.

This includes wet grass, outdoor track, a customer or venue’s field

13. Leaving a site or arriving at a destination, ALWAYS use a spotter. If you don’t have anyone with you, get out and survey the area and know where you’re going and what the truck will do.

If you have a rider with you - ask them to get out of the truck to spot you.

14. Use a back-up man.

**If you hit something and someone didn’t spot you when they could have, you can split the costs between you and pay for any damages.

Making the Delivery

  1. Check all of the special notes at the bottom of the order.

  2. When loading, check and re-check the order to make sure you have all of the items, as well as any and all tools you might need.

  3. Call the customer with an ETA prior to leaving your current site.

Under promise and over deliver: if you know you’ll be there at 2:00pm, tell them you’ll be there at 2:05pm or 2:10pm. Don’t say 2:00pm and get caught in traffic and end up a few minutes late.

  1. BE ON TIME!

  2. Be polite and seek to fulfill the customer’s needs and exceed their expectations (VALUE!)

  3. Check the order to see if the customer paid for setup and takedown.

  4. Before leaving:

  • Confirm the pickup date with the customer and ask if they have a preferred time window (the larger the window, the better for us).

  • DOUBLE CHECK THE ORDER. Make sure all items have been delivered and the customer is satisfied.

  • Walkthrough our workspace and make sure everything is secured / set-up properly / all trash picked-up.

  • Fill out the online confirmation form on Connecteam! Include any special notes (customer requests, pick-up preferences, additional items, missing items, etc.)

On Job Sites

      • Designate the Lead! Only one crew member (the Lead) should be in contact with the customer throughout an install or delivery. All communication about the install should flow through that Lead. This is to reduce any confusion about what we’re doing, what is expected, and what the customer wants us to do.

      • Always call the Customer when you’re on the way to the site. This is a common courtesy and it is mandatory that it take place on all of our deliveries. Some orders may have a special request to arrange a delivery time with the customer prior to leaving the warehouse.

      • Be kind and listen to the Customer at all times!

      • Also be mindful of where to park the truck. If it’s not obvious where to park, then kindly ask the Customer the preferred location to park.

      • Do not drive off pavement/gravel unless the Customer allows you to AND it is DRY. It is embarrassing and disrespectful to get stuck in someone’s yard.

      • Be aware of your speech and how you treat one another. You may be joking with one another but whatever you say could be offensive to our Customer. No profanity.

      • No smoking on a job site.

        1. Vaping is prohibited on customer property.

      • Let office staff know of any on-site changes that the customer makes.

      • Office staff should be responsible for letting customers know of availability of additional inventory & additional charges due to changes.

Making the Pick Up

  1. Before leaving to go to a pick-up, MAKE SURE you have a current copy of the order. Bring an ink pen.

  2. Review the order and load any items you might need to accomplish the pick-up (hand trucks, pallets, trash bags, ladders, etc.)

  3. If necessary, or if noted on the order, call the customer with an ETA

  4. Count everything slowly and meticulously. Organize dishes (in their correct racks and turned the right way) and linens before counting them - this should be done on the jobsite.

  5. Make sure all items you’re picking up belongs to Event Rentals. This includes correct dishes that a customer may have mixed with their plates, etc.

  6. Check off items as you load them. Make notes if you are short on something.

  7. Before leaving:

  • Confirm that you have loaded everything on the order.

  • Fill out the online confirmation form on Connecteam! Include any special notes (customer requests, pick-up preferences, additional items, missing items, etc.)
